Application Screening Disclosure

This disclosure explains how Hermitage Property Management reviews rental applications and handles application screening fees in California.

Application platform requirement

All rental applications must be submitted through our designated AppFolio application portal. Applications submitted through other platforms or third-party services, including Realtor-provided applications, will not be accepted or reviewed.

Equal housing opportunity

Hermitage Property Management complies with all federal, state, and local fair housing laws. All applicants are evaluated without regard to protected characteristics, including but not limited to:

  • Race or color
  • Religion or creed
  • Sex, gender identity, or gender expression
  • Sexual orientation
  • Marital status
  • Familial status
  • National origin, ancestry, or immigration status as protected by law
  • Disability
  • Source of income, including lawful subsidies or vouchers
  • Age, where protected by law
  • Military or veteran status
  • Any other characteristic protected by applicable law

Screening methodology

All complete applications received by the stated application deadline are reviewed collectively. Hermitage Property Management does not use a first-received, first-qualified selection process. Selection is based on the applicant who best meets the objective screening criteria.

Objective screening factors

Screening decisions are based on objective, measurable criteria, which may include:

  • Credit history and credit score
  • Verification of current and stable employment
  • Income-to-rent ratio
  • Debt-to-income ratio
  • Rental history and landlord references
  • Eviction history
  • Background screening results, where permitted by law

Reasonable accommodations

Reasonable accommodations and modifications are considered as required by applicable fair housing laws. Applicants requesting an accommodation should submit the request in writing as part of their application.

Application screening fee

An application screening fee is required at the time of application submission. The fee covers the cost of obtaining and reviewing third-party consumer reports and verification services, which may include credit reports, eviction history, background screening where permitted by law, income verification, and rental history verification.

The application screening fee does not exceed actual out-of-pocket costs and reasonable value of time, as permitted by California Civil Code §1950.6.

Refund of screening fee

Applicants who are not accepted will receive a full refund of the application screening fee within seven calendar days after an applicant has been selected.

Refunds are issued electronically and returned to the same form of payment used at the time of application. Paper checks are not issued.

Consumer reports and adverse action

Consumer reports may be obtained as part of the screening process. If an application is denied or materially affected based on information contained in a consumer report, the applicant will receive an adverse action notice in accordance with the Fair Credit Reporting Act.

Applicants have the right to request a copy of their consumer report and to dispute inaccurate information directly with the consumer reporting agency.

No guarantee of approval

Submission of an application and payment of a screening fee does not guarantee approval or tenancy.
